Meeting Minutes
Subject: AGM and Member Meeting

Opening:
Peter opened the meeting at 7:10pm and provided an introduction and overview of the agenda.
Acceptance of Past Minutes:
After a show of hands, all were in favour of minutes sent out by email. Carried.
Financial Update
Current bank balance $11, 632.03 (See Appendix 1.)
Income this month was $2700
Outgoing $288.26
Proposal:
Harold proposed the following for vote:
- Member management software to a value of no more than $3000 - Show of hands, all in favour. Carried.
- Name tags with logo with value of no more than $1000 - Show of hands, all in favour. Carried.
The following items will be up for vote at future meetings:
Stickers for advertising
Canopy for trips and shows
Flat BBQ grill for events
Megafone for events
Membership
Current members are at Membership up to 51
There was discussion around geographical boundaries and allowing members from NSW to join the group, which opened up some larger discussion including associate membership,Northern NSW Ineos owners and other challenges for membership outside of QLD.
Proposal
Allow Camillo, who resides in NSW,to be a member for the Cape Trip
Through a show of hands, all voted in favour, none against.
Trip and events
- Gold Coast Coffee: A successful first official meet up at Expedition HQ arranged by Harold and Nicolette, meeting up at SLRV\Expedition HQ on the Gold Coast followed by a trip to Mt Tamborine. A good turnout and a lot of discussion around cars and modifications. A big thanks to Ric at Expedition. Pictures and videos have been posted on the events page of the website.

Doug and Anne provided an update of the trip and facilities available. Last year was a great success.
Open to non members and members for a weekend of driving and friendship.Members will need to book individually.
- Cape York
Trip committee: Peter Smith, Camillo Longo, Simon Lofthouse, John Canny
Date 16th July
Registrations; 13 registered to date.
Peter provided an update on the trip. Members will need to make their own way to Cairns and then meet up as a group. Majority will be fairly easy roads or tracks as not all members will have their competency certificates. Planning is still in progress, more details to follow.
- Gundagai Landrover 77th Anniversary
Trip committee: Harold and Nicolette Wiegers, Peter and Jenny Smith
Date:24th September
Registrations: No limit, everyone must register for the event themselves.

- Variety Bash
The variety bash have asked the Ineos Grenadier Club to open discussion on possible cooperation and help with organising the variety bash. Simon provided an overview of the Variety $wheel drive event.
Training

Location: Black Duck
Rob and Bill provided a overview of the training course and the event at Black Duck, facilities, overview of the day
Doug is now qualified by 4wd Qld
Simon - volunteered to attend
David asked about cross certification of training if you had already been certified through another club, organization or official body. This will be looked into.
The training committee is still working through the package and requirements to provide the competency certificate for all members. The trip to Black Duck will be
Technical forum
Modification of the month was David Heyden’s custom tray that had improvements to the fuel, adblue and water filling over the Norweld tray. This tray will become an “off the shelf” tray by the manufacturer soon. . Pictures and details will be posted on the website.
Other honourable mentions went to Bill’s towel for stopping the front screen condensation, Peter's rear fitout, Rob’s water tank in the rear footwell, Harold's Mk2 drinks table and the Garmin and CB radio mount.
Peter discussed the new Clevershade awning that sits below the roof line and does not need a rack. It is currently fitted to his vehicle for people to see and has a member discount. Contact Peter for details. Ph 0428748163

Harold and Peter discussed there were some ongoing discussions with local companies and potential deals in the pipeline with some local companies. More details will be provided once negotiations are further along.

There were a number of discussion points and actions:
Harold will double check legal liability issues of accepting members from outside Queensland.
Membership Officer will send out invites to add all club members to the private Facebook group and make contact with members who don't use Facebook to ensure they can access club communications. (discussed this would be solved with Member Jungle)
The Training Committee will finalise and present clear information about driver awareness training requirements and schedule future driver awareness training sessions. They will also make sure people receive all the necessary material as part of the training, including equipment lists required for trips etc.
Discussing the onboarding of member jungle software, the committee needs some time to make sure this is done properly.
Committee to discuss alternate trips to the Cape York trip due to availability, people working etc.
